Job Description

We have the opportunity within the group for an Office Manager. Reporting to the Customer Service Director, to ensure the smooth running of all aspects of the Internal Sales, by structuring the team in an effective manner to deliver our customers and the business the highest possible level of customer service

The main duties include, but are not restricted to-
? Communicate to all areas of the business with any customer related issues.
? Organise and plan the sales office resource to ensure effective support is given to our customers and other departments within the business.
? Manage information generated by the company and communicate with the team and/or individuals where necessary.
? Monitor workloads within the sales office, delegate and assist with urgent requests and implement corrective actions when needed.
? Submit operational report on a monthly basis and any other reports as required by senior management.
? First stage recruitment of any direct reporting staff, this includes CSE, Admin and Reception. Identifying and advising CSD of any future recruitment/resource needs.
? Monitor training of new staff and conduct annual appraisals for existing members of the team.
? Identify team training requirements and implement a development plan when required. Responsible for implementing performance management programmes for under-performers and any subsequent disciplinary action.
? Ensure compliance with health & safety standards.
? Work closely with other departments to review processes and implement new systems of working. Attend regular meetings to review and analyse, making improvements where necessary.
? Active involvement in continuous improvements to the business- CIP, Project Zero, 5S, Quality Control, as well as implementing new products/ processes into the business.
? Review data with other departments and implement corrective actions- plate remakes, suspect production, complaints, prism tracker data, etc.
? Check amended/ new designs to ensure information is clear, accurate and fit for purpose according to site machinery capabilities.
? Investigate objectively all complaints/ credit notes and dump notes for the site, ensure correct allocation of department for error and identify correct actions accordingly.
? Complete customer accounts review forms with CSEs on a regular basis to gain familiarity and ensure they are set up in the correct manner to reflect the commercial arrangements with the customer. Understand exactly what pricing is based on (min qtys, range planning requirements).
? Work with the internal sales team to effectively plan jobs ensuring all customer requirements are met whilst maintaining efficiencies wherever possible. Where not possible, liaise with External Sales/ Directors to communicate to customers and other relevant departments.
? Constantly review and challenge the MIS system to ensure that it is working to the best advantage of the customer and Paragon Print & Packaging, making recommendations to the MIS team accordingly.
? Provide monthly performance data for all CSEs based on agreed KPI’s and individual performance, monitor and review meetings with poor performers.
? Any other duties commensurate with the job for which training has been provided

You must have the following skills
? Experience in packaging is essential, Flexible packaging is desirable

Some relevant experience is desirable and full training will be given to the right candidate with the relevant experience.
