Job Description

Due to continued business growth an opportunity has arisen for an Operations Administrative Assistant.

The role will focus on providing general administrative assistance to the Operations team. There will also be some involvement with the ‘Customer Service` team to ensure flexibility/cover across the internal sales/production departments.

The successful applicant will possess a good understanding of English and Maths, and be proficient in the use of all Microsoft Office programs. They will also be using various Information Management Systems, as such a good general level of IT knowledge will be required.

This role has been created with the aim of developing the chosen applicant into a key member of the Operations team, encompassing areas such as Estimating, Cost Analysis and Procurement & Logistics. As such it will involve a significant amount of both in-house and external training, with the duties and role increasing and changing in-line with individual progress.

Main Responsibilities: 

  • General administrative duties for a range of internal departments

  • Assisting the Technical Order Processing team with the raising of Purchase Orders

  • Internal liaison with our sales, QA, logistics, production, planning and finance departments to collate requisite job information.

  • Assisting the Technical Order Processing team with the processing of Purchase Invoices

  • Stock Control and Replenishment of Office Stationary Supplies and Production Staff uniforms.

  • To establish a working relationship with designated suppliers and business contacts

  • Assisting the Technical Order Processing team with the raising and issuing of Works Orders

  • Communicating and co-ordinating with suppliers via email/in writing and phone in a clear, concise and professional manner. The role may include internal and off-site supplier meetings.

  • Working closely with the Planning Manager on the production of the Planning Schedule, including liaising with various internal and external parties

  • Job/Costing data analysis and problem identification

  • Assisting the Technical Order Processing team with the raising of estimates

  • Working with theOperations Management team on the implementation of new and ongoing projects and procedures

  • Actively participating in and contribute towards continuous individual development and team targets

  • Any other duties as instructed by the Technical Order Processing Team Leader, Senior Management or company Directors

Skills and Attributes: 

  • Willing and able to work well within both a team and as an individual

  • Ability to prioritise multiple tasks and work under strict timescales

  • Ability to remain calm under pressure

  • Confident and enthusiastic with a desire to learn and develop through continuous training

  • Ability and willingness to share knowledge and skills with other members of the team

  • Experience of working with Information Management Systems and associated IT hardware advantageous

  • Good communication skills both verbal and written

  • Confident, enthusiastic with a “can do” attitude

  • Good standard of Mathematical knowledge

  • Strong interpersonal and organisational skills

  • Fully conversant with Microsoft Office

  • Able to show a high degree of initiative and flexibility

  • Organised, methodical and logical approach to work

  • Actively participating in and contribute towards continuous personal and team development and targets.

  • Willingness to learn negotiation techniques and practices for day to day supplier interaction
